Presenter

Presenters (i.e., first authors) must be registered and have paid the Congress registration fee by 8 May 2026 to guarantee publication of their abstract in the Scientific Programme and the eBook of Abstracts. Notification of acceptance or rejection will be sent on 1 April 2026. Missing the payment deadline for presenting authors will lead to the exclusion of the abstract from the Scientific Programme and the eBook of Abstracts.

Authors are free to choose between Oral Presentation, Conventional Print Poster Presentation or E-poster as a preferred format during the abstract submission process. The final decision about the presentation format lies with the ECSS Scientific Board and is also due to the settings of the Scientific Programme.

Oral Presentation

Oral presentations include a 10-minute PowerPoint (16:9) presentation followed by five minutes of discussion. The use of your own laptop or USB stick is not permitted. Embedded videos are not permitted in the presentation, only external links.

Oral presentations must be pre-uploaded either via your ECSS Account or in the Speakers Ready Room one day before your presentation, at the latest. 

The online upload starts on 21 May and the requirement is a .ppt or .pptx file with a maximum size of 10MB.

Conventional Print Poster Presentation (debated)​​

Conventional print posters are in A0 (height: 120cm (47.3in), width: 90cm (35.5in)) size and portrait (vertical) format. The presentation time is 3 minutes followed by 2 minutes of discussion. Poster presentations do not require a PowerPoint presentation.

At Lausanne, due to technical restrictions, the print poster sessions would be held in the Auditorium after the Plenary Sessions. Hence, you are required to place your poster on the designated poster board half an hour before your presentation and remove it directly after the session has ended. A pre-upload is NOT possible. Poster patches will be provided on-site.

Optional Poster Printing Service (on Campus)

For your convenience, an on-campus printing service is available at EPFL, located close to the SwissTech Convention Center. This service is offered as a helpful option, including a 20% discount for ECSS presenters. However, all arrangements must be made directly with the provider and ECSS does not assume any responsibility for individual orders and printing services.

Ordering process for presenters​

  • Send PDF file (in the required format) via email at least three working days in advance
  • Include quantity, poster size (A0) and preferred paper type in the email

Collection

Posters must be collected in person from the EPFL Repro shop. Presenters must identify themselves using their conference badge to avail the Congress discount.

Prices for A0 size, including the discount are:

E-Poster (not debated)

E-Posters require a size 140cm (55in) width x 79cm (31in) height in landscape (horizontal) format. The E-Poster must be pre-uploaded in PDF format (one slide only) until 30 June 2026 via your ECSS Account

The online upload starts on 21 May. Abstracts accepted in this format will be published in the eBook of Abstracts of the Annual Congress. In addition, the E-Poster will be made available online and on-screen. 

The E-Posters can be accessed at any time during the Congress, using widescreen TVs located in the E-Poster area. There is, therefore, no formal presentation time and no formalised discussion time. If discussion is required, presenters will be contacted directly (by email) by interested parties.
