3. Presentations

What are the presentation formats and is there a time limit for the presentations?

Oral presentation (debated)
Oral presentations include a 10-minute PowerPoint (16:9) presentation followed by a 5-minute discussion. The presentations must be pre-uploaded in your ECSS account or in the Speakers’ Ready Room one day in advance of your presentation at the latest. The use of your own laptop or USB stick is not permitted.

Conventional print poster (debated)
Conventional print posters are in A0 (height: 120cm, width: 90cm) size and portrait (vertical) format. Presentation time is 3 minutes followed by 2 minutes of discussion. Poster presentations do not require a PowerPoint presentation. As a presenter of a conventional print poster, you need to place your poster on the designated poster board in the morning of your presentation and remove it directly after the poster session has ended. A pre-upload is NOT required.

E-poster (not debated)
E-posters should be length 140cm (55in) and width 79cm (31in) in landscape (horizontal) format. The E-poster must be pre-uploaded in PDF format (one slide only) between 20 May and 24 June 2025 via your ECSS account. Abstracts accepted in this format will be published in the eBook of Abstracts of the Annual Congress.

In addition, the E-poster will be made available online and on-screen. The E-poster format can be accessed at any time during the Congress, using widescreen TVs located in the general E-poster area. There is, therefore, no formal presentation time and no formalised discussion time. If discussion is required, presenters will be contacted directly (e.g., by email or ECSS Congress App) by interested parties.

Why am I not in my preferred presentation category?

Submitting authors may state their preference for the type of presentation (oral, print poster or E-poster). However, the final decision lies with the ECSS Scientific Board and in line with the settings of the scientific programme.

Is it possible to present a colleague’s abstract on their behalf?

The first author who submitted the abstract must pay the full registration fee to confirm the abstract for the final scientific programme. In case the first author is unable to attend, a registered co-author is permitted to present the research on their behalf.

4. ECSS Young Investigators Award (YIA)

What is the ECSS YIA?

One of the key objectives of the ECSS is to promote young scientists and foster state-of-the-art research. For this purpose, ECSS established the ECSS Young Investigators Award (ECSS YIA).

The ECSS YIA is sponsored by the European Journal of Sport Science (EJSS) and the winners are granted generous cash prizes. The award supports upcoming young scientists who present outstanding scientific work at the ECSS Annual Congress in both oral and conventional print poster categories.

Are there any requirements to participate in the ECSS YIA?

To successfully apply for the ECSS YIA, please see all the ECSS YIA requirements listed here.

How do I apply for the ECSS YIA?

Applications for the ECSS YIA must be uploaded during the ECSS Annual Congress abstract submission process. Please note that in the event of rejection, the documents cannot be resubmitted and that applications sent by e-mail will not be accepted.

What are the ECSS YIA reviewing criteria?

Please find the ECSS YIA reviewing criteria here.

How do I know that my ECSS YIA application is successful?

Once you’ve applied for the ECSS YIA, you will be able to check your application status in your ECSS account under 'myCongress' at any time.

Why have I been rejected as an ECSS YIA applicant?

If your ECSS YIA application has been rejected, this may be due to the following reasons:

  • Abstracts with incomplete ECSS YIA applications and those not meeting the requirements will be excluded from the ECSS YIA competition.
  • If all requirements were met but you still receive a rejection, we very much regret that we only have limited ECSS YIA presentation times and apparently other abstracts were ranked higher than yours. However, these rankings are often very close and it does not mean that your research is of lower quality. Please note, following your rejection, your abstract goes through the normal reviewing process for non-ECSS YIA abstracts and we hope to welcome you as a Congress participant.

VISA

For EU citizens and citizens of countries that have signed the Schengen Agreement, a valid identity card is sufficient as an alternative to a passport.

Citizens from non-EU countries may enter Italy with a passport valid for at least three months after the planned date of departure from the Schengen Area. Depending on your country of origin, you can request a visa from the Italian Embassy or Consulate in your country of residence and it will generally be issued after 90 days.

To find out which countries require a visa to enter Italy, please click here and enter your nationality, your country of residence, the duration of your stay (less than or more than 90 days) and the reason for your trip. The Italian government provides further information on the entry to Italy and the entry visa. Please also refer to our Terms and Conditions.

You are advised to check the entry requirements before registering for the Congress or making any travel arrangements. Follow the instructions indicated by the Italian Embassy or Consulate. Only register and make travel arrangements once you have consulted the Italian Embassy or Consulate and you are convinced that you have enough resources to obtain the necessary visa.

In some cases, appointments are needed to schedule face-to-face interviews and these can be booked out for months in advance. In other cases, the process to obtain certain documentation needed to secure the visa can also be time-consuming. The ECSS kindly encourages all non-EU citizens to begin their visa application process at the earliest to ensure a smooth and timely travel.

Please be advised that the ECSS cannot assume responsibility for delays in visa processing that may prevent entry into Italy. Unfortunately, we are unable to refund the Congress registration fee, if an entry visa is not obtained in time.

The local organisers of the ECSS Annual Congress can issue a Congress invitation letter in case it is requested by the respective Embassy/Consulate. Please note that postal delivery can take several weeks and take this into account when planning your Congress registration and journey to Italy. Also, please be aware that the costs for express delivery are to be borne by the applicant. Please find further information regarding the registration fees and deadlines here.

Please book your Embassy/Consulate appointment as early as possible, as depending on the Embassy/Consulate, it could take up to several months to get an appointment.
